Website enquiry privacy notice

Last updated: 12 October 2026

Who we are

Areterra is a registered charity in England and Wales, charity number 1196211. We are responsible for the personal information we use to handle your enquiry.

Contact us at team@areterra.co.uk or call 01562 307 306. Our correspondence address is Little Croft, Fenn Green, Alveley, WV15 6JA. This is not our activity site.

What we collect and why

Our enquiry form asks for your name, email address, enquiry topic and message. We use this information to respond, answer your questions and discuss the next steps you have asked about, such as a visit, volunteering or supporting Areterra. We may keep related correspondence while dealing with your enquiry.

The required fields allow us to understand your enquiry and reply. You do not have to use the form; you can call or email us instead.

Please do not include medical records or sensitive information about yourself or another person in the general enquiry form. Contact us to discuss how to provide information about support needs appropriately. If an enquiry moves into a referral or service relationship, separate privacy information and record-retention arrangements will be needed.

Our lawful basis

For general enquiries, we rely on our legitimate interests in responding to people who contact the charity and managing those conversations. We use the information needed to understand and respond to your request. You can object to this processing by contacting us.

Who handles your information

Access to general enquiries is limited to authorised team members who need the information to handle them. Please address privacy requests to the Areterra team using the contact details above.

Our website is hosted by eUKhost and enquiry emails are sent through Microsoft 365. These services process information to provide website hosting and email delivery. Additional email-content logging in the website mail-delivery plugin is disabled.

Service providers and international processing

Our Microsoft 365 account reports that Exchange Online email data is stored at rest in the United Kingdom. This does not mean that all service, security or support processing takes place in the UK.

eUKhost’s published terms provide for authorised subprocessors and overseas support processing, subject to data-protection safeguards. Its privacy policy also describes backup infrastructure supplied by Impossible Cloud in Germany. The arrangements depend on the service used.

Provider information is available in eUKhost’s data-protection terms, its privacy policy, and Microsoft’s Data Protection Addendum. These describe contractual protections for processing and international transfers. Contact us for information about the safeguards relevant to your enquiry.

How long we keep enquiries

We review general enquiries 12 months after receiving them and delete information that is no longer needed. If an enquiry is still active or there is another justified need to keep it, we record the reason and set a further review date. Referral and care records are managed separately.

Using this website

Delivering and protecting a website involves technical information such as IP addresses, requested pages and browser information. Hosting and security services may record this information to operate the site and investigate faults or misuse. We rely on our legitimate interests in operating a reliable, secure website.

The website uses Google-hosted fonts. Your browser contacts Google to obtain these font files, sending technical connection information including your IP address. See Google Fonts privacy information. Links to external websites, including social media and donation services, take you to services with their own privacy information.

This notice concerns the public website and general enquiries. It does not replace separate information for care, referral, employment or restricted Hub records.

Your rights and concerns

Depending on the circumstances, you can ask to access your personal information, correct inaccurate information, delete information or restrict how it is used. You can also object where we rely on legitimate interests. Some rights are subject to conditions and exceptions. Contact us using the details above to make a request or raise a concern.

You can also complain to the Information Commissioner’s Office (ICO).
